What is Worklenz?

Worklenz is a free, open-source project management platform built for agencies and small businesses. It brings projects, team members, clients, and time tracking together in one place - with built-in tools for task management, workload management, project finance, reporting, and client portal access.

Is Worklenz free to use?

Yes. Worklenz offers a free Cloud plan with essential features. A Business Plan is available for teams that need advanced features such as integrations, project finance, client portal, and scheduling. The open-source version is completely free to self-host.

What is the difference between Worklenz Cloud, Self-hosted, and Open-source?

Worklenz Cloud is a managed cloud service - sign up at app.worklenz.com and get started in minutes with no setup required. Worklenz Self-hosted lets you install and run Worklenz on your own servers or Worklenz's dedicated server, giving you full data control. Worklenz Open-source is the community edition hosted on GitHub, free to install on any server and includes all essential features.

Projects and tasks

How do I create a project in Worklenz?

From the Worklenz dashboard, click the New Project button, enter a project name, set optional details like start date and color, then click Create. You can also create projects from a template to get started faster.

How do I invite team members to my workspace?

Go to the Team Members section and click Invite Member. Enter their email address and assign a role (Owner, Admin, or Member). They will receive an email invitation to join your workspace. You can also invite members directly to a specific project.

What is the difference between phases and statuses in Worklenz?

Status represents the current state of an individual task (e.g., To Do, In Progress, Done) and is customizable per project. Phase represents a broader stage of the project itself (e.g., Planning, Design, Development, QA) and groups tasks into meaningful sections. Both can be used together to give full visibility into project progress.

How do recurring tasks work in Worklenz?

Recurring tasks are tasks that automatically repeat on a schedule - daily, weekly, monthly, or custom intervals. Once set up, Worklenz automatically creates a new instance of the task when the current one is due, keeping repeated work organized without manual effort.

What are task templates in Worklenz?

Task templates let you save a pre-defined set of tasks that can be reused across projects. Instead of recreating the same task structure from scratch, you can import a task template into any project to get started quickly with a proven workflow.

Time tracking

How does time tracking work in Worklenz?

Worklenz offers two ways to log time. You can use the one-click timer on any task to start and stop tracking automatically, or you can add a manual time entry by specifying the date, hours, and minutes. All logged time is visible in time reports at both the project and team level.

Features and plans

What is the client portal in Worklenz?

The client portal gives your clients a read-only view of project progress without needing a Worklenz account. You can share a portal link with clients so they can track milestones, task status, and overall progress - eliminating the need for endless status update meetings. The client portal is available on the Business Plan.

What integrations does Worklenz support?

Worklenz integrates with Slack, Microsoft Teams, GitHub, Google Drive, Google Calendar, and Microsoft Calendar. Integrations are available on the Business Plan.

How do I track project costs and budgets?

Worklenz includes a project finance module where you can set a project budget, track billable hours, monitor burn rate, and compare estimated vs. actual costs in real time. This helps you know which clients and projects are profitable before they wrap up. Project finance is available on the Business Plan.

What is workload management in Worklenz?

The workload management view shows you each team member's task assignments and capacity at a glance. You can see who is overloaded and who has availability, making it easy to balance work and assign tasks based on skills and capacity.

Mobile

Can I use Worklenz on mobile?

Yes. Worklenz has a mobile app available for both iOS and Android. The mobile app lets you manage tasks, log time, and stay on top of notifications on the go.
